Q: Will this remain confidential and anonymous?
A: The highest level of confidentiality is maintained on all reports made via the HelpLine. Depending on local laws and the organization you are submitting the report to, anonymity cannot be guaranteed and options may vary. In all instances, every effort will be made to ensure that information relating to a reported incident is kept confidential and communicated on a need-to-know basis only. Below are the different levels of anonymity you may be able to select depending on the organization’s setup:
• Remain completely anonymous.
When you file your report, you do not reveal your name or contact information to either UVM or to Convercent. Your identity is completely protected on the incident report.
• Remain anonymous toward UVM
You are revealing your name and contact information to Convercent, but not to UVM. Convercent may contact you confidentially to gather additional information about the report but will not reveal your identity at any time to UVM unless you grant Convercent that permission.
• Identify yourself
You choose to reveal your name and identity to both UVM and to Convercent.
Q: Who will see my report?
A: After you submit it, your incident report will be received by Convercent and routed to the designated individuals within your organization. Your organization handles all incident reports according to its internal investigatory procedures. The report will be housed and managed within Convercent.
Q: What kinds of incidents can I report on?
A: We recommend reporting anything that doesn’t feel right. Some examples of workplace issues are financial and auditing concerns, harassment, theft, substance abuse, and unsafe conditions. We also recommend that you refer to the list (see link below to UVM Compliance HelpLine FAQ's) of University policies should you want to review a policy prior to reporting.
• Academic Integrity matters, student conduct issues, or any event presenting an immediate threat to life or property should not be reported through this system.
• Employee disputes or grievances should follow established channels such as the Grievance Policy for Non-Represented Staff or the applicable bargaining unit's contract provisions.
Q: Can I change my report after I submit it?
A: You won’t be able to change your report after it has been submitted. However, you will be able to add additional details using message boards.
Q: Can I check the status of my report?
A: You'll be able to create a personal password, which you can use to check the status and updates of the report after it's been submitted. You can also call the appropriate country number to check the status over the phone.
